Privacy Policy | The Therapy Coach — Rodrego Way, LPC-S, LCDC

Legal

Privacy Policy

Plain language about what this website collects, what our automated follow-up actually does, and the choices you have. Written to be read — not to be scrolled past.

Section one

What this policy covers

This policy explains how The Therapy Coach[LEGAL ENTITY NAME], doing business as The Therapy Coach (“we,” “us,” or “our”), handles information collected through thetherapycoach.com and our related marketing communications — email, text messages, scheduling links, and downloadable resources.

By using this website or submitting a form, you agree to the practices described here. If you don’t agree, please don’t use the site or submit information through it.

Section two

This website is not the clinic

This is the most important distinction on the page, so we’ve put it near the top.

This website supports Rodrego Way’s speaking, training, consulting, and clinical supervision work. It is a business and marketing site. Information you send through it — a booking inquiry, a resource download, a newsletter signup — is business contact information, not protected health information.

Clinical services are provided separately through Mind and Therapy Clinic, PLLC. If you are or become a patient of the clinic, your health information is governed by the clinic’s own Notice of Privacy Practices under HIPAA and applicable state law — a separate document, provided to you directly by the clinic. Nothing on this page changes or limits those protections.

Please don’t send clinical details through this website.

Forms and email on this site are not encrypted for health information and are not a substitute for a clinical intake. Don’t include diagnoses, treatment history, medications, or details about a specific person’s mental health in a website form. If you need clinical care, contact Mind and Therapy Clinic, PLLC directly at [CLINIC PHONE / INTAKE LINK].

This site is not a crisis service. If you or someone else is in immediate danger, call 911. If you are in the U.S. and need mental health crisis support, call or text 988 to reach the Suicide & Crisis Lifeline, available 24/7.

Section three

Information we collect

Information you give us

When you submit a booking request, request the credentials kit, download a resource, or subscribe to updates, we collect what you enter:

  • Name
  • Agency, organization, or business name
  • Email address
  • Mobile number, if you choose to provide one for reminders
  • Inquiry type, target date, and estimated group size
  • Whatever you write in the open message field

The message field is optional and open-ended. Please keep it at the level of your organizational situation rather than any individual’s health details.

Information collected automatically

Like most websites, ours collects certain technical information when you visit:

  • IP address and approximate location derived from it
  • Browser type, device type, and operating system
  • Pages viewed, time on page, and the link or search that brought you here
  • Cookie and similar identifiers (see Cookies & analytics)

Email and text engagement

Our email platform records whether messages were delivered, opened, and which links were clicked. We use this to gauge whether our follow-up is useful and to stop sending to people who clearly aren’t interested. We do not sell this data.

What we don’t collect here

We do not intentionally collect Social Security numbers, government ID numbers, or payment card details through this website. Contracts and payment for engagements are handled separately through [INVOICING / CONTRACT PLATFORM], under that provider’s terms.

Section four

How we use your information

  • To respond to you. Answering your inquiry, sending the credentials kit, and scheduling a call.
  • To deliver what you asked for. Resource downloads, one-sheets, and requested materials.
  • To run the automated follow-up described in the next section.
  • To send occasional updates about training, availability, and resources — only if you opted in.
  • To improve the site and our programs using aggregated analytics.
  • To meet legal and professional obligations, including recordkeeping and licensure requirements.

We do not sell your personal information. We do not share it with third parties for their own independent marketing.

Section five

Automated email and text messages

Our follow-up is partly automated, and we’d rather tell you exactly how than let you find out. When you submit a request, an automated sequence begins:

WhenWhat is sent
ImmediatelyConfirmation email with a scheduling link
Within minutesCredentials kit or the resource you requested
Same business dayA person reviews your request — this step is not automated
A few days laterA short follow-up if we haven’t connected yet
Before a scheduled callEmail reminder, and a text reminder if you gave us a mobile number
After an engagementParticipant resources and a request for feedback

Text message consent

Providing a mobile number is optional. If you do, you consent to receive scheduling and appointment-related text messages from us at that number, including messages sent by an automated system. Consent to texts is not a condition of any purchase or service.

Message and data rates may apply. Message frequency varies. Reply STOP to any text to opt out, or HELP for assistance. Carriers are not liable for delayed or undelivered messages.

Opting out of email

Every marketing email includes an unsubscribe link at the bottom, and it works immediately. You may still receive transactional messages tied to something you specifically asked for — a scheduling confirmation, a contract, a reminder for a call you booked.

Section six

Who we share information with

We share information with service providers who help us operate this site and follow up with you. They may use it only to provide services to us, under contract.

Type of providerWhat they handle
Website hosting [PROVIDER]Serving the site, server logs, security
Email marketing & CRM [PROVIDER]Contact records, automated sequences, engagement data
Scheduling [PROVIDER]Calendar links, booking details, reminders
Text messaging [PROVIDER]Delivery of SMS reminders
Analytics [PROVIDER]Aggregated traffic and usage measurement
Forms & file delivery [PROVIDER]Form submissions and resource downloads

We may also disclose information when required by law, subpoena, or valid legal process; to protect our rights, safety, or property, or that of others; or in connection with a merger, acquisition, or sale of assets, in which case we’ll note it here.

Section seven

Cookies and analytics

Cookies are small files stored by your browser. We use:

  • Essential cookies that make the site function — these can’t be turned off.
  • Analytics cookies that tell us which pages get read and where visitors drop off.
  • [IF USED] Advertising or retargeting pixels, which may let a platform show you our content elsewhere.

You can block or delete cookies in your browser settings, though parts of the site may stop working properly. Most browsers offer a “Do Not Track” signal; because there is still no common standard for how sites should respond, we [do / do not] respond to those signals.

Section eight

How long we keep information

We keep inquiry and contact records for as long as needed for the purpose collected, and then for a reasonable period afterward for business records, tax, and legal purposes — generally [NUMBER] years from your last interaction with us. Aggregated analytics that no longer identify you may be kept indefinitely. You can ask us to delete your information sooner (see below).

Section nine

Your rights and choices

Wherever you live, you can contact us to:

  • Ask what personal information we hold about you
  • Ask us to correct information that’s wrong
  • Ask us to delete your information
  • Unsubscribe from email or reply STOP to texts

Depending on your state, you may have additional rights — including the right to confirm processing, obtain a portable copy, opt out of targeted advertising or the sale of personal data, and appeal a denied request. Residents of Texas and other states with comprehensive privacy laws can exercise these rights by contacting us using the details below. We do not sell personal information or use it for targeted advertising in the way those laws define it [CONFIRM — depends on pixels used].

We will verify your identity before acting on a request and will respond within the timeframe required by applicable law. We won’t discriminate against you for exercising these rights.

One request handles it.

You don’t need to cite a statute or use particular wording. Email [PRIVACY EMAIL] and tell us what you want done.

Section ten

Security

We use reasonable administrative and technical safeguards — encrypted connections, access controls, and vetted vendors — to protect information submitted through this site. No method of transmission over the internet is completely secure, and we can’t guarantee absolute security. This is another reason not to send sensitive clinical details through a website form.

Section eleven

Children’s privacy

This website is intended for adults conducting professional business with us. It is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has submitted information here, contact us and we will delete it.

Section twelve

Third-party links

This site links to other organizations — the clinic, professional associations, community organizations, media outlets. We don’t control their privacy practices, and this policy doesn’t cover them. Read their policies before sharing information there.

Section thirteen

Changes to this policy

We may update this policy as our tools, services, or legal obligations change. The revised version will be posted here with a new “Last updated” date. If the changes are significant, we’ll say so clearly — and notify email subscribers where required.
